Easterseals Washington has supported people with disabilities and their families for nearly 80 years. Fall Fest: Pints for Possibilities was their first attempt at turning that mission into a brewery fundraiser, and a first-year event has no playbook to fall back on. JSB Video came on as the single production partner for the night, covering live event AV, photography, and story-driven video capture. One coordinated crew ran the program. The same crew captured the fundraising asset Easterseals is still using.

Background & Challenge

Easterseals Washington has served people with disabilities and their families in Washington for nearly 80 years. Fall Fest: Pints for Possibilities was their first community fundraiser in this format, which meant every guest experience mattered. If speeches couldn't be heard, transitions felt disorganized, or key moments weren't captured, there wouldn't be a second year to compare against. The inaugural event had to create confidence with donors, sponsors, and the Easterseals team alike.

Fremont Brewing's Urban Beer Garden is a great place for a fundraiser. It is not a great place for a program. Hard surfaces push ambient crowd noise in every direction, and there is no house AV system designed to support an emcee, award presentations, or live speakers. For a first-year event with no baseline to fall back on, that is a real operational problem.

The room was only half the challenge. Easterseals also needed the event documented in a way that would work for donors who were never there. That means more than b-roll of people holding pints. It means interviews with staff, parents, and program participants captured mid-event, from guests who came to socialize, not to sit for a formal interview.

The challenge, in short:

  • No house sound system suited to a fundraising program
  • A program that needed to be accessible to guests who benefit from on-screen transcription
  • Usable interviews needed from guests in a casual, crowded setting
  • One budget that had to cover the room and the story
  • Two vendors means two points of failure and one more thing for the event team to manage

Our Role

Before anyone quoted equipment, we mapped what the night needed to accomplish with the Easterseals team. The goal was a program that ran cleanly for the room and footage that would work for donors who were never there. From that conversation, we scoped event AV production, event photography, and event videography against one set of goals and built a single production plan around them. The client had one point of contact throughout. No relaying the same information to separate teams, no coordinating between vendors who had never worked together.

In the week leading up to the event, we coordinated presentation assets, run-of-show timing, accessibility requirements, VIP coverage, interview opportunities, and program video playback so the production team could arrive ready to execute.

Production Planning

During planning, Easterseals asked whether the program could include live captions for guests who would benefit from on-screen transcription. We incorporated automated captions into the AV workflow so every speaker's remarks were both heard and visible throughout the program.

We also suggested capturing a few short interviews during the event to support post-event fundraising content. Easterseals agreed, and those interviews became the foundation of the highlight film.

Event AV Production

We brought in a full speaker system, wireless microphones, and program audio support for the emcee, presenting speakers, and the award ceremony. We handled live presentation playback, photo slideshow support, and program video playback throughout the evening. The AV system fed high-quality program audio directly into the camera, so the video recording benefited from the same clean signal running to the room.

Event Videography & Photography

A five-person production team handled both the live program and the story capture without those two priorities competing with each other. The videographer and photographer worked from shared shot lists and kept multiple eyes on the room at once, catching moments neither could have covered alone.

Event videography ran alongside the program rather than around it. We used a roving approach, working with the natural rhythm of the event to pull interviews with the Easterseals COO, staff, and parents without pulling guests out of the room or interrupting the program.

Event photography was delivered alongside the video, so Easterseals left with a full suite of assets from a single engagement.

Post-Production

Post-production turned the footage into a roughly three-minute, story-driven highlight film. The edit was built around the difficulty of finding inclusive childcare, the Camp Stand By Me program, and where donor dollars actually go. It was designed to work for someone who was never at the event, which is the whole point of a nonprofit fundraising video.

We also delivered a second version without burned-in captions so clips could be repurposed for social media, extending the value of the production beyond a single event.

The program ran smoothly from setup through the award presentations, with clean presentation playback, wireless microphones, and live captions supporting the evening's program throughout.

Following the event, Easterseals shared the highlight film internally with leadership before releasing it publicly. The organization also requested a second version without burned-in captions so clips could be repurposed for social media, extending the value of the production beyond a single night. The highlight film went on to support donor outreach and year-round fundraising communications.

Easterseals has since brought JSB Video back for a separate testimonial project, expanding our work beyond event coverage into nonprofit storytelling and testimonial production.
